A Repeatable Real Estate Video Workflow for Brokerages
Design a brokerage property-video workflow with defined intake, brand rules, agent ownership, review, campaign variants, and publishing controls.

A brokerage video system should make quality and approval repeatable while preserving the facts and positioning unique to each property. The practical goal is a clear handoff between the agent, photographer, marketer, reviewer, and publisher.
Define roles before choosing tools
- Listing owner: confirms the property objective and current facts
- Asset owner: supplies approved photos, footage, floor plans, and usage rights
- Creator: builds the initial property project and campaign versions
- Brand reviewer: checks identity, typography, logo, contact details, and tone
- Compliance reviewer: checks required details, claims, disclosures, and market rules
- Publisher: distributes approved versions and tracks where they remain active
Create a standard intake
- Listing URL and approved media folder
- Property position and intended audience
- Verified facts that may appear on screen or in narration
- Agent profile, brokerage identity, and required disclosures
- Campaign moments and required aspect ratios
- Reviewers, deadline, and the definition of final approval
Separate reusable and property-specific elements
Reusable elements may include approved typography, colors, logo treatment, contact-screen layout, music guidance, caption style, and naming conventions. Property-specific elements include the media, sequence, claims, price, dates, agent identity, feature emphasis, and call to action.
Build one core project per property
Use the core project as the approved source for landscape, square, and vertical variants. Keep revisions attached to that property instead of copying untracked files between agents and marketers. Name versions by property, campaign moment, aspect ratio, and approval status.
Use a two-stage review
- Content review: property facts, scene accuracy, photo order, captions, narration, contact details, and action
- Delivery review: aspect ratio, text safe areas, audio, export quality, file name, destination, and expiration date
Plan controlled agent self-service
Give agents a defined starting workflow and reusable brand finish, while keeping property claims and final approval explicit. A checklist is more reliable than asking each agent to remember brand, licensing, and publishing requirements independently.
Measure the workflow
- Time from approved asset intake to first review
- Number and cause of revision rounds
- Percentage of listings receiving the agreed campaign assets
- Expired or outdated versions corrected on time
- Qualified campaign actions by property and channel
